Summary of Job Responsibilities:

Mortgage Sales Assistant will assist the Mortgage Sales Manager with a wide range of sales and non-sales activities including client phone calls, documentation collection, mortgage application file preparation and interaction with mortgage operations for proper file flow of the loan. This role involves active communication with external contacts including borrowers, real estate professionals, builders, insurance agents and title companies as well as other internal staff and departments (banking center staff, mortgage processing, underwriting, closing, servicing etc.)

Essential Job Duties:

  1. Assists in greeting customers when necessary, answering telephones, and provides information on mortgage products and services.
  2. Assist Mortgage Sales Manager (SM) with new loan applications. This may include but is not limited to: Ensuring all aspects of the Application, and other Encompass forms are complete and accurate before Initial Disclosure
  3. Retrieval of signed Disclosures and completion of Intent to Proceed
  4. Ensuring accurate DU/ AUS Findings, completing File Contacts, etc.
  5. Ensuring all required documentation is received and/or requested from the applicants before sending the file to Compliance for disclosures and processing
  6. Following up with the and applicant for any missing or additional documentation needs. Assist SM with phone calls and other administrative functions including Greeting customers
  7. Scheduling appointments for new applicants.
  8. Handle incoming telephone calls from clients and prospective clients, title companies, and loan processors Addressing Thank You Cards to applicants and referral sources.
  9. Assisting with Sales Initiatives for future business growth & development.
  10. Assist SM with ensuring all loans are closed in a timely manner including Assisting the SM with any follow up after a file has been reviewed by underwriting (clearing UW Conditions) • Ensuring all required insurance documents are updated and received for the closing.
  11. Assist SM in miscellaneous administrative tasks
  12. All other duties as assigned.

Skills and Abilities Required:

  1. Ability to operate a personal computer (using various software), typewriter, calculator, scanner, mortgage loan origination system, copier, fax, and other office equipment.
  2. Ability to speak, read, and write English, enunciate clearly, and perform complex loan calculations.
  3. Mental/visual skills necessary to effectively and efficiently monitor personal computer and loan processor input.
  4. The ability necessary to gather data from several sources, prepare loan files and documents and positively represent the Bank during such contacts.
  5. Ability to maintain confidentiality of customer information, employee information and any Citizens Bank business practices, processes, and procedures.

Minimum Level of Performance and Training Normally Required:

  1. A high school diploma or equivalent
  2. Two years general banking, loan processing, loan operations, or title insurance industry experience is required.
  3. Previous work in a business office team environment required.
  4. High level of professionalism and ability to maintain confidentiality.
  5. Ability to multi-task and organize priorities with flexibility.
  6. Strong analytical and problem-solving skills.
  7. The desire and ability to meet individual goals, along with the ability to contribute to a team-oriented environment to ensure departmental and organization wide goals are met.
  8. Strong attention to detail.
  9. FHA/VA/Rural Housing processing experience is preferred, but not required.
  10. Must be willing to become a notary public if required.
